SoloPro, LLC (“SoloPro,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use the SoloPro Platform (our website at soloproapp.com, web app, and mobile apps). The Platform and services are intended for users located in the United States. By using the Platform, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with our practices, please do not use the Platform.
Note: SoloPro, LLC is a Delaware limited liability company with its business operations based in Alabama, USA. Our contact information for privacy inquiries is provided at the end of this Policy.
1. Information We Collect
We collect several types of information from and about users of our Platform, including:

Information You Provide Directly: When you create an account or use SoloPro’s services, you may provide personal information such as your name, email address, phone number, and business details. For example, during registration we ask for your name, a valid email, and contact number. If you subscribe to a paid plan, you may also provide payment details (billing address, etc.), though credit card information is handled by our third-party payment processor and not stored in full on our systems. Additionally, any content you input into the Platform is provided by you voluntarily. This includes data about your customers and business operations (e.g. your customers’ names, addresses, contact information, job details, invoices, photos, signatures, and payment transaction records). If you communicate with us (for example, for support), you may also provide us with information like your feedback or contact details.

Information We Collect Automatically: When you use the Platform (including both the website and mobile app), certain information is collected automatically about your device and usage of the service. This may include:

Usage Data: We collect log data about your interactions with the Platform, such as the pages or features you access, the time and date of each request, your IP address, browser type, device type, operating system, and app version. For instance, we may log when you log in, when you create or send an invoice, or when you encounter an error, to help us monitor the service and improve performance.

Device & Network Information: We receive information about the device and internet connection you use to access the Platform. This can include your device’s unique IDs or advertising identifiers, your mobile operating system version, browser user-agent strings, and regional and language settings. If you use our mobile application, we may also detect your device’s model and manufacturer and any crash reports.

Location Information: SoloPro may request or infer location information in certain scenarios. For example, if you opt to use location-based features (such as tagging the location of a job site or using GPS for routing), and you grant the mobile app permission, we will collect precise geolocation data from your device. You can control the permission for location services via your device settings. (If you do not grant location access, you can still use the Platform, but some features that rely on location may be disabled.)

Cookies & Tracking Technologies: We and our third-party service providers use cookies, web beacons, pixels, and similar tracking technologies on our website to collect information about your browsing actions and usage patterns. Cookies are small text files placed on your device to remember your preferences and activity. For example, we use cookies to keep you logged in to your account, to remember your settings, and to gather aggregate data about site traffic (via analytics tools). You can refuse or delete cookies through your browser settings; however, note that some parts of our Platform might not function properly if cookies are disabled. (See Section 4 below for more on our use of cookies and analytics.)

Information from Third Parties: We may receive information about you from third parties if you choose to integrate SoloPro with other services or if you login via a third-party platform. For example, if SoloPro allows sign-in through a service like Google or Facebook in the future, we would receive basic profile information (such as your name and email) from that service upon your consent. Additionally, if you make or receive payments through the Platform, our payment processor may send us confirmation of payment transactions (but not sensitive card details). We treat information from third parties according to this Privacy Policy and any additional restrictions imposed by the source of the data.
Sensitive Personal Data: SoloPro’s Platform is not intended to collect any sensitive personal information such as social security numbers, government ID numbers, or health/biometric data, except as may be incidental (for instance, if you choose to include such information in a note or attachment within our app, which we discourage). We ask that you refrain from uploading any sensitive personal data about yourself or your customers unless it is necessary for your business operations. In cases where such data is provided, it will be protected under this Policy like any other personal information.
2. How We Use Your Information
SoloPro uses the collected information for purposes consistent with providing and improving our services. The ways we use your information include:

To Provide and Operate the Service: We process your personal information to create and manage your account, to provide the features and functionalities of the Platform, and to facilitate the business operations you conduct through SoloPro. For example, we use your information to allow you to create quotes and invoices, manage customer details, process payments (via our payment partner), and organize your job information.

This includes confirmations of actions (like invoice emails or payment receipts), alerts about subscription status or expiration, and updates about critical changes to the Platform (such as policy updates or security notices). We may also respond to your support inquiries or feedback using your contact details. If you have opted into marketing communications, we might send occasional emails about new features, promotions, or news about SoloPro – but you can opt out of these marketing messages at any time (see Your Rights & Choices below).

To Ensure Platform Integrity and Security: Information is used to monitor for fraudulent, suspicious, or unauthorized activities on the Platform. For instance, we may analyze logins and usage patterns to detect unusual behavior that could indicate a security threat or misuse (such as someone using your account without permission or attempts to scrape data). We also may use information to enforce our Terms of Service, such as investigating potential violations of the Acceptable Use Policy.

To Improve and Personalize the Service: We continually seek to improve SoloPro’s features and performance. We analyze usage data and feedback to understand how users interact with the Platform, which features are most used, and where improvements or new features might be valuable. This data helps us troubleshoot issues (for example, diagnosing a problem that many users are experiencing) and develop new tools or optimizations. Additionally, we may personalize your experience by, for example, remembering your preferences and settings, or suggesting features that might be relevant to your business use of the Platform.

For example, we (through our payment processor) use your provided payment details to charge subscription fees. We also use information like your subscription plan and history to manage renewals, send billing reminders, and address any payment issues (like expired cards or failed charges).

To Comply with Legal Obligations: We may process and retain your information as needed to comply with applicable laws, regulations, and legal processes. For instance, we might retain certain transaction records for tax and accounting purposes, or disclose information in response to lawful requests by public authorities (such as court orders, subpoenas, or in compliance with industry regulations). We also may use and disclose information to exercise or defend legal claims, protect our rights (or the rights of other users), and prevent fraud or abuse on our Platform.

With Your Consent or at Your Direction: In certain cases, we may use or share your information when you direct us to do so or with your explicit consent. For example, if you integrate SoloPro with a third-party service and ask us to share data with that service, or if we want to feature a success story or testimonial with your information – we would do so only with your agreement. (If we ever plan to use your personal information for a purpose materially different from what is described in this Policy, we will ask for your consent as required by law.)
We do not use personal information for any purposes other than those described above without your permission. In particular, we do not sell or rent your personal data to third parties for their marketing or any other purposes.

Personal data is stored on these servers, but always under SoloPro’s control and governed by strict security protocols.

Email and Communications Services: We may use services to send out emails or push notifications (such as an email delivery service to send verification emails, invoices to your clients, or support responses). These providers would have access to your email address and the content of the communication as needed to perform their functions.

Analytics and Crash Reporting: We might use third-party analytics providers to understand how users engage with our website, or crash/error tracking services to get reports when the app crashes on your device. These third parties may set their own tracking technologies (cookies, SDKs) to collect usage information. This information is generally aggregated and does not identify you personally, but it may include things like device identifiers or IP addresses.

We ensure that any service providers we use are bound by confidentiality and data protection obligations consistent with this Privacy Policy. They are not permitted to use your information for their own unrelated purposes, only to provide services to SoloPro.

Business Transfers: If SoloPro, LLC is involved in a merger, acquisition, financing due diligence, reorganization, bankruptcy, receivership, sale of company assets, or transition of service to another provider, your information may be transferred as part of that transaction. We would ensure the new owner or successor entity is bound by terms protecting your personal data consistent with this Policy. You would be notified via email and/or a prominent notice on our Platform of any change in ownership or use of your personal information, as well as any choices you may have regarding your information in such an event.

This includes exchanging information with other companies and organizations for fraud protection and credit risk reduction, or sharing information with regulators as required (for example, for tax reporting or auditing purposes).

Your Business’s Customers (as directed by you): Because SoloPro is a platform you use to manage your business operations, you may at times direct us to share information with third parties. For example, when you create an invoice or estimate for one of your customers through SoloPro and choose to send it via the Platform, we will use the contact information you provided for that customer to deliver the invoice (e.g., emailing it to your customer). Similarly, if you use SoloPro to schedule appointments and send reminders to your clients, we will send those communications on your behalf using the client information in your account. In these cases, we are sharing that information solely at your direction and for your business purposes. We do not independently contact your customers except as you explicitly use the Platform to do so.

With Your Consent: Besides the situations outlined above, if we intend to share your personal information in a way that is not covered by this Privacy Policy, we will ask for your consent. You have the right to refuse such requests, and even if you consent, you may revoke it later by contacting us (though that will not undo any sharing already completed with your prior consent).
Again, we emphasize that we do not sell your personal information to third parties. We also do not share personal data with third-party advertisers for targeted advertising purposes. Any sharing is limited to the purposes described above and is done with respect for your privacy.
4. Cookies and Tracking Technologies
As noted, SoloPro uses cookies and similar tracking technologies on our website to provide and enhance our services. Here’s more detail on how we use these technologies and your choices:

Types of Cookies: We use both session cookies (which expire once you close your web browser) and persistent cookies (which stay on your device until you or your browser delete them after a set period).

Advertising Cookies: Currently, SoloPro does not use third-party advertising networks on our Platform and thus does not use cookies for targeted advertising. If this changes in the future, we will update this Policy and provide appropriate opt-outs.

Your Choices: Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer. You also have the option to delete cookies that have already been placed on your device. Please note that disabling or deleting certain cookies may affect the functionality of the Platform. For instance, if you disable essential cookies, you may not be able to log in or use important features. We do not currently respond to “Do Not Track” signals because there is not a consistent industry standard for compliance, but if one emerges we will follow it as required.

Third-Party Links: Our Platform might occasionally contain links to third-party websites or services (for example, a link to an external knowledge base, a partner service, or a social media page). Clicking those links may allow third parties to set cookies or similar tracking on your device. SoloPro’s Privacy Policy does not cover those external sites. We encourage you to read the privacy policies of any website you visit via links from our Platform, as their practices may differ from ours.
5. Data Security
We take the security of your personal information seriously. SoloPro implements a variety of technical, administrative, and physical safeguards designed to protect your data from unauthorized access, disclosure, alteration, or destruction. These measures include:

All such individuals are bound by confidentiality obligations. User passwords are stored in hashed form and not in readable plaintext.

We may also periodically perform security audits or assessments, and have protocols for detecting and responding to suspicious activities.

Backup and Recovery: We maintain backups of critical data to ensure resilience and availability of the service in case of hardware failures or other issues. These backups are secured and encrypted.
Despite our efforts, no security measures are infallible. No method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee absolute security. You can help by keeping your account credentials confidential and notifying us immediately if you suspect any unauthorized access to your account. In the unlikely event of a data breach that affects your personal information, we will notify you and the appropriate authorities as required by law.
6. Data Retention
SoloPro will retain your personal information for as long as your account is active or as needed to provide you with services. We also will retain personal information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. Specifically:

Account Data: Information associated with your account (like your profile information, account settings, and content you have created or uploaded) is kept for as long as you maintain an account with us. If you decide to delete your account or if your account is terminated, we will initiate the process of removing or anonymizing your personal data from our active databases. In general, data deletion from active systems occurs within 30 days of account cancellation, barring any of the exceptions noted below.

Subscription and Transaction Data: We may retain records of your subscriptions, payments, invoices, and related transactions for a longer period as required for legitimate business records and compliance (for example, for accounting, audits, tax obligations, or legal reporting). Typically, financial records are kept for at least 7 years or as mandated by tax law.

Backup Copies: As noted in our Terms, we maintain encrypted backup copies of data to ensure service continuity and for legal compliance. These backups are cycled and eventually overwritten, but it is possible that residual data may remain in backup storage for some period after deletion from active systems. We protect any such retained data and isolate it from routine use. Note that we cannot guarantee that we will be able to restore any data you have deleted, as backups are for disaster recovery and legal retention rather than user-accessible archives.

Anonymized and Aggregated Data: In some cases, we may convert your personal information into anonymized, statistical data (for example, aggregating general usage metrics or business insights across many users in a way that does not identify you). We may retain and use this anonymized data indefinitely without further notice to you, as it no longer contains personal information.
When we no longer have a legitimate need or legal obligation to retain your personal information, we will securely dispose of it. If deletion is not immediately feasible (for example, the data is stored in archives), we will ensure that your information is isolated and protected until deletion is possible.
7. Your Rights and Choices
Depending on your jurisdiction and the applicable laws, you may have certain rights regarding your personal information. SoloPro is committed to providing all users with reasonable access and control over their data. These rights and how you can exercise them include:

Access and Portability: You have the right to request a copy of the personal information we hold about you, and to obtain information about how that data is processed. In many cases, you can directly view and update your basic account information (like your name, email, contact info, and customer records) by logging into your SoloPro account. If you require a more comprehensive export of your data, please contact us at our support email below, and we will assist you. We can provide your information in a common data format where feasible.

Correction (Rectification): If any of your personal information is incorrect or outdated, you have the right to request that we correct or update it. You can often make changes by editing your profile or the relevant entry on the Platform (for example, updating a customer’s contact information). For any data not editable by you, you may contact us to request correction, and we will address it as appropriate.

Deletion (Right to be Forgotten): You may request that we delete your personal information. You can achieve a partial deletion by removing specific data in your account (for instance, deleting a customer entry or an invoice). To delete your entire account and associated personal data, you can use any available account deletion function on the Platform or contact us to request account deletion. Please note that we may need to retain certain information for the reasons outlined in the Data Retention section (such as legal compliance or legitimate business interests). If that is the case, we will inform you about what data cannot be fully deleted and why (e.g., “We cannot delete your invoicing records for seven years due to tax regulations, but we have deactivated your account and will not use your remaining data for any other purpose”).

Objection to Processing: If we process your information based on our legitimate interests (or those of a third party), you have the right to object to that processing in certain circumstances. For example, you can request that we stop processing your data for direct marketing purposes (if we were doing so). Generally, we do not use your data for marketing without consent, so this primarily would apply if we were sending you product update emails or similar – you can opt out of those at any time by clicking “unsubscribe” in the email or adjusting your communication preferences in your account settings.

Restriction of Processing: You have the right to ask us to limit the processing of your personal information in certain cases – for instance, if you contest the accuracy of the data we hold or if the processing is unlawful and you prefer restriction over deletion. Practically, this is similar to the “Access” right and would involve us providing you with an export of your data.

California Privacy Rights (if applicable): If you are a resident of California, USA, you may have rights under the California Consumer Privacy Act (CCPA) or other state laws. SoloPro does not currently meet the CCPA applicability thresholds. However, we respect your privacy and offer all users the rights described in this section, including the right to know what personal information we have collected, the right to request deletion, and the right to opt-out of the “sale” of personal info (note: SoloPro does not sell personal data). We do not discriminate against users for exercising their privacy rights.

International Users: SoloPro’s Platform and services are intended for users located in the United States and are not directed at users in the European Union, European Economic Area, United Kingdom, or other international jurisdictions. We do not actively market to or solicit users outside the United States. If you access our Platform from outside the U.S., you do so at your own initiative and are responsible for compliance with local laws. By using the Platform, you consent to the transfer and processing of your data in the United States.
Exercising Your Rights: To exercise any of the above rights, please contact us at support@soloproapp.com with your request. We may need to verify your identity before fulfilling certain requests (for example, by confirming that the request comes from the email associated with your account or by asking for some identifying information). We will respond to your request within a reasonable timeframe, and in any event within the time period required by applicable law (e.g., within 30 days for most requests, with the possibility of extension). Keep in mind that these rights are not absolute – they can be subject to conditions or limitations under the law. We will explain any denial or partial fulfillment of your request in our response.

Marketing Communications: As mentioned, if we send you marketing or promotional emails, you can opt out at any time by clicking the unsubscribe link in those emails or contacting us. Please note that even if you opt out of marketing messages, we may still send you transactional or service-related communications (such as account notifications, security alerts, password reset emails, and other important notices). Those are necessary for us to provide our services and for you to know critical information about your account.

Do Not Call: We generally communicate with users via email or in-app notifications. SoloPro does not engage in telemarketing. If we ever call you (for example, for support or verification purposes), and you prefer not to receive calls, please inform us and we will note your preference.

8. Children’s Privacy
SoloPro’s Platform and services are not directed to children under the age of 13, nor intended for individuals under 18 to use without supervision. As stated in our Terms of Service, you must be at least 18 years old to create an account and use the Platform. We do not knowingly collect personal information from anyone under 13 years of age. If you are under 13, please do not attempt to register for SoloPro or send any personal data about yourself to us. If we learn that we have inadvertently collected personal information from a child under 13, we will take steps to delete that information promptly.
If you are a parent or guardian and you discover that your child under 13 has obtained an account on SoloPro or otherwise provided personal information to us, please contact us immediately. We will work with you to remove that data and terminate the child’s account.
For minors aged 13 to 17, we expect that any use of SoloPro is with the permission and supervision of a parent or legal guardian, and the account should be registered by an adult. If you are a California resident under age 18 and a registered user of the Platform, California law (California Business and Professions Code § 22581) may permit you to request and obtain removal of certain posted content. To make such a request, please contact us with specific details so we can assist. Note that the right to removal is not absolute – it does not apply to content that has been reposted by others, that is anonymized, or that we are required by law to keep. Still, we will do our best to help address any issues related to content posted by minors.
9. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or for other operational reasons. When we make changes, we will update the “Last Updated” date at the top of the Policy. If changes are significant, we will provide a more prominent notice of the update (for example, by posting a notice on our website dashboard or sending an email to users). We encourage you to review this Privacy Policy periodically to stay informed about how we are protecting the personal information we collect.
Your continued use of the SoloPro Platform after any changes to this Policy constitutes your acceptance of the updated terms, to the extent permitted by law. If you do not agree with any updates or modifications, you should stop using the Platform and, if you wish, delete your account or contact us to request deletion of your data.

11. Dispute Resolution
Any disputes arising from or related to this Privacy Policy or SoloPro’s handling of your personal information shall be resolved in accordance with the dispute resolution provisions set forth in our Terms of Service. If informal resolution is unsuccessful, disputes shall be resolved through binding arbitration in accordance with our Terms of Service, with arbitration proceedings taking place in Alabama, USA. By using the Platform, you agree to this dispute resolution process.
